fig. 02 — On the phone

What it actually does on a call

It holds a normal conversation, with your diary, your booking rules and your approved answers in front of it the whole time.

Books the appointment

Finds a real slot with the right practitioner, honouring your notice periods, buffers, telehealth rules and who is allowed to do what. It never offers a time your diary can't take.

Reschedules and cancels

Recognises the caller, finds their booking, moves it or cancels it. Inside your cancellation window it takes a message for your team instead of deciding on its own.

Takes a proper message

Who called, what about, which doctor, how urgent, and the number to ring back. It lands in your portal as a task with a name against it, so nothing lives on a sticky note.

Handles emergencies your way

When a caller describes an emergency it says exactly what your practice signed off, word for word, and flags the call immediately. Nothing goes live until someone at the clinic has approved that script.

Transfers to a human

When a caller asks for a person, is upset, or raises something it doesn't know, it hands the call over mid-conversation rather than guessing.

Answers the everyday questions

Parking, bulk billing, what to bring, whether you're open on Saturday. It only ever answers from material your team has read and approved.

fig. 04 — Off the phone

It also makes the calls you never get time for

Recalls, follow-ups and reminders usually lose to whatever is ringing right now. On the Professional plan and up, the agent runs them for you.

  • Recall campaigns. Care plan reviews, results follow-ups, annual checks. You choose who and when; it rings or texts, and books them in on the spot.

  • Appointment reminders. Confirmations and reminders by SMS, using templates your team wrote, sent at hours you set.

  • Everything lands in the diary. A recall that reaches a patient becomes a booking, a task, or a note against their record, so nobody is left chasing a spreadsheet.

fig. 06 — In the portal

Your team sees everything, changes anything

The agent is only half of it. Behind it sits a portal where reception runs the day and the practice manager changes the rules, without ringing a developer.

Every call, on the record

Recording, transcript and outcome for every call, searchable, so "what did we tell Mrs Harris?" takes seconds to answer.

Messages become tasks

Every message lands with an owner, an urgency and the call it came from attached. Done means marked done, in front of the whole team.

You hold the controls

Doctors, services, hours, closures, scripts and answers all live in plain settings your team edits. Every change is versioned and can be rolled back.

fig. 07 — Getting started

Set up in one sitting, live when you say so

8 guided steps, about 20 minutes of your time. Our team can do any step for you if you'd rather we did, and nothing touches a patient until you point your number at it.

  1. 1

    Create your account

Follow your invitation, set a password, add the people who answer the phone.

  2. 2

    We read your website

Your doctors, services, locations and hours come back as suggestions to accept or reject.

  3. 3

    Check the details

Fix anything we got wrong. Add the words patients actually use, like "flu jab".

  4. 4

    Set your booking rules

Who does what, where, how far ahead, and how much notice you need.

  5. 5

    Approve the answers

Nothing reaches a patient until somebody at the practice has read and approved it.

  6. 6

    Sign off emergencies

The exact words the agent says when a caller describes an emergency. Signed, dated, versioned.

  7. 7

    Make a test call

Talk to your agent in the browser and hear it yourself. Patients are never part of the rehearsal.

  8. 8

    Go live

Point your number at it. Pause any time, change anything, any day.

fig. 08 — Security

Built for patient data

Health information deserves more than a privacy policy. These are properties of the platform, so none of them can be switched off or configured away.

Encrypted at the field level

Medicare numbers, dates of birth and health details are individually encrypted in the database, following a written encryption map.

Everything is written down

Every sign-in, configuration change, call and billing action lands in an append-only audit trail. Never edited, never deleted.

Two-factor on every admin login

Anyone who can reach patient details signs in with an authenticator app as well as a password. There is no setting to turn it off.

Humans approve what the AI says

Everything we read off your website stays a suggestion until a person accepts it, and answers stay in draft until a person approves them.

Retention you control

Set how long calls and transcripts are kept, redact individual transcripts, and purge records on request. Deletions need two people to agree.

Stored in Australia

Patient records, recordings and transcripts are stored in AWS's Sydney region, and your clinic's own timezone decides what counts as today.

fig. 09 — Pricing

Every plan runs the same agent. What changes is how many clinics, how many minutes, and what runs beyond the front desk.
